Privacy Policy

This Privacy Policy describes how the Institute of Management, JK Lakshmipat University collects, uses, shares and protects Your information when You use this Website and register for BIZVERSE 2026, and tells You about Your privacy rights and how the law protects You.

We collect, use, and disclose Your information only as described in this Privacy Policy, and only where We have a valid legal basis to do so, principally Your consent, given when You submit a registration.

Interpretation and Definitions

Interpretation

The words whose initial letters are capitalized have meanings defined under the following conditions. The following definitions shall have the same meaning regardless of whether they appear in singular or in plural.

Definitions

For the purposes of this Privacy Policy:

• Company (referred to as either "the Company", "We", "Us" or "Our" in this Privacy Policy) refers to the Institute of Management, JK Lakshmipat University, Near Mahindra SEZ, Mahapura, Ajmer Road, Jaipur, Rajasthan 302026, India, the organiser of BIZVERSE 2026.

• Country/State refers to: Rajasthan, India.

• Device means any device that can access the Service, such as a computer, a cell phone or a digital tablet.

• Event means BIZVERSE 2026 and any individual competition, workshop or session forming part of it.

• Personal Data (or "Personal Information") is any information that relates to an identified or identifiable individual.

  We use "Personal Data" and "Personal Information" interchangeably unless a law uses a specific term.

• Registrant means the individual who completes the registration form, whether for themselves alone or on behalf of a team.

• Service refers to the Website and the registration process it provides.

• Service Provider means any natural or legal person who processes the data on behalf of the Company. These are third-party companies engaged by Us to host the Website, store registration records, or collect payment.

• Team Member means an individual whose details are submitted by a Registrant as part of a team entry.

• Usage Data refers to data collected automatically, either generated by the use of the Service or from the Service infrastructure itself (for example, the duration of a page visit).

• User means any individual who accesses or uses the Service.

• Website refers to BIZVERSE 2026 - JK Lakshmipat University, accessible from https://bizverse.jklu.edu.in/.

• You means the individual accessing or using the Service, or the college, institution or other legal entity on behalf of which such individual is accessing or using the Service, as applicable.

Collecting and Using Your Personal Information

Types of Data Collected

Registration Data

To register for the Event We ask the Registrant to provide the following. All of it is required unless marked otherwise:

• First name and last name
• Email address
• Phone number
• College or institution name
• A photograph of Your college ID card (JPEG, PNG or WebP), used solely to verify that You are a bona fide student of the college You name, and to admit You to campus on the day of the Event
• The events You are registering for
• Whether You require accommodation during the Event
• Dietary preference (vegetarian, non-vegetarian or vegan), used solely to plan catering. If You would rather not state a dietary preference, You may tell Us on arrival instead
• The number of members in Your team and the amount payable

On successful registration We also generate and store a registration ID and a timestamp, and We record the payment status returned to Us by Our payment gateway.

Information You Provide About Other People

If You register as a team, You will be asked to submit each Team Member's name, college, dietary preference, accommodation requirement and college ID photograph.

By submitting those details, You confirm that each Team Member has agreed to You doing so and has been made aware of this Privacy Policy. Please do not submit another person's details or ID photograph without their permission. If You are a Team Member and Your details were submitted without Your knowledge, contact Us using the details at the end of this page and We will remove them.

Payment Information

Registration fees are collected through Cashfree Payments, an independent payment gateway. We do not collect, see or store Your card number, UPI PIN, net banking credentials or any other payment instrument details. These are entered on Cashfree's own systems and are governed by Cashfree's privacy policy.

To create the payment order We send Cashfree Your name, email address and phone number, together with the order amount and reference. Cashfree returns to Us only the payment status and its order reference, which We store against Your registration.

Usage Data

Usage Data is collected automatically when using the Service, principally in the server logs of Our hosting provider.

Usage Data may include information such as Your Device's Internet Protocol address (e.g. IP address), browser type, browser version, the pages of Our Service that You visit, the time and date of Your visit, the time spent on those pages, and other diagnostic data. When You access the Service through a mobile device, this may also include the type of mobile device, Your mobile operating system and the type of mobile Internet browser You use.

We use Usage Data only to keep the Website available and secure and to diagnose faults. We do not use it to build a profile of You.

Cookies, Local Storage and Tracking

This Website does not run advertising, analytics or behavioural tracking of any kind. We do not use Google Analytics, advertising pixels, web beacons or similar technologies, and We do not set any cookies of Our own.

The Website does use Your browser's local storage (a small area of storage on Your own Device) to hold Your registration details while You complete the multi-step registration form, so that Your progress is not lost if the page reloads. This data stays on Your Device. You can clear it at any time through Your browser's "clear site data" or "clear browsing data" settings, though doing so mid-way will clear Your form.

Third parties whose services the Website loads may set their own cookies or receive Your IP address as a technical necessity of serving their content. These are:

• Cashfree Payments, only when You proceed to the payment step, on Cashfree's own checkout pages.
• Google Fonts and content delivery networks used to serve fonts, stylesheets and scripts. These receive Your IP address in order to deliver the file.

We do not control these third parties' use of cookies. You can block or delete cookies through Your browser settings, but blocking them on the payment step will prevent You from completing a registration.

Use of Your Personal Data

The Company uses Personal Data for the following purposes, and no others:

• To register You for the Event: to process Your entry, allocate You to the competitions You selected, form team records, and issue Your registration ID and entry pass.

• To verify eligibility: to confirm from Your college ID that You are a student of the institution You have named, and to verify Your identity at the campus gate on the day of the Event.

• To collect and reconcile the registration fee: to create a payment order with Our payment gateway and match the payment it confirms against Your registration.

• To arrange logistics: to plan catering from dietary preferences and allocate accommodation to those who requested it.

• To contact You about the Event: to send You Your registration confirmation, schedule changes, venue instructions, results and other operational messages by email, phone or messaging service. These are service messages, not marketing, and You cannot opt out of them while Your registration is active.

• To manage Your requests: to attend to and manage queries, corrections and grievances You raise with Us.

• To meet Our legal and institutional obligations: to maintain the financial and event records the University is required to keep, and to respond to lawful requests from public authorities.

What We Do Not Do

We do not sell, rent or trade Your Personal Data. We do not share it with advertisers or data brokers. We do not use it for automated decision-making or profiling. We do not send marketing about unrelated products or services.

If in future We wish to email You about subsequent editions of BIZVERSE or other University events, We will ask for Your separate consent first, and every such message will carry a way to opt out.

Sharing Your Personal Data

We share Personal Data only in the following situations:

• With Our Service Providers, who process data on Our behalf and only on Our instructions:

  • Google (Firebase / Google Cloud): stores registration records and uploaded ID photographs.
  • Cashfree Payments: processes the registration fee, as described above.
  • Our website hosting provider: serves the Website and keeps short-term server logs.

• Within the University: with the faculty coordinators, organising committee members and campus security staff who need the information to run the Event and admit participants.

• With Your consent: for any other purpose, only after You have agreed to it.

• Where the law requires it: as described under "Disclosure of Your Personal Data" below.

Retention of Your Personal Data

We keep Personal Data only for as long as We need it for the purposes set out above. Unless otherwise stated the periods below are maximums, and We delete or anonymise data sooner where it is no longer needed.

• College ID photographs: deleted within 90 days of the close of the Event. They exist only to verify You before and at the gate, and are not retained beyond that.
• Registration records (name, contact details, college, events entered, team composition): retained for 12 months after the close of the Event, to handle results queries, certificate requests and disputes.
• Dietary and accommodation preferences: deleted within 30 days of the close of the Event.
• Payment and fee records (amount, date, gateway reference, payer name): retained for as long as required under applicable Indian tax, audit and accounting law, and under the University's own records policy. Cashfree retains its own transaction records under its own policy.
• Server logs: retained for up to 12 months for security monitoring and troubleshooting.
• Correspondence with Us (email, grievances): retained for 12 months from the date the matter is closed.

We may keep Personal Data beyond these periods only where a law requires Us to, where it is necessary to establish, exercise or defend a legal claim, or where You have asked Us to.

When a retention period expires We delete the data from Our active systems. Residual copies may persist in encrypted backups for a limited further period under Our backup schedule, and are not restored except for disaster recovery or legal compliance. In some cases We instead reduce records to anonymous statistics (for example, total participants per college) that cannot be linked back to You; these may be retained indefinitely.

Transfer of Your Personal Data

Your Personal Data is processed at the Company's campus in Jaipur, Rajasthan, and on the systems of the Service Providers named above. Google's Firebase infrastructure and Our hosting provider may store or process data on servers located outside India, in jurisdictions whose data protection laws differ from India's.

We will not transfer Your Personal Data to an organisation or a country unless adequate controls are in place to keep it secure, and We will take all steps reasonably necessary to ensure it is treated in accordance with this Privacy Policy.

Correcting or Deleting Your Personal Data

This Website has no user accounts and no self-service settings page. To access, correct or delete Your Personal Data, email Us using the contact details at the end of this page. Write from the email address You registered with, or tell Us Your registration ID, so We can identify Your record.

We will respond within 30 days. Where We can act on Your request We will do so; where We cannot, for example because a law obliges Us to keep a financial record, or because deleting a record mid-Event would prevent Us from running a competition You have entered, We will tell You why.

Withdrawing consent or asking Us to delete Your registration before the Event will normally mean cancelling Your entry. Refunds, if any, are governed by the Event's terms, not by this Privacy Policy.

Disclosure of Your Personal Data

Law Enforcement

Under certain circumstances, the Company may disclose Your Personal Data if required to do so by law or in response to valid requests by public authorities (e.g. a court or a government agency).

Other Legal Requirements

The Company may disclose Your Personal Data in the good-faith belief that such action is necessary to:

• Comply with a legal obligation
• Protect and defend the rights or property of the Company
• Prevent or investigate possible wrongdoing in connection with the Service or the Event
• Protect the personal safety of Users of the Service, participants at the Event, or the public
• Protect against legal liability

Security of Your Personal Data

Registration data and uploaded ID photographs are stored on Google Firebase with access restricted to the organising team. Data is transmitted over encrypted connections. Payment credentials never reach Our systems.

The security of Your Personal Data is important to Us, but no method of transmission over the Internet, or method of electronic storage, is 100% secure. While We strive to use commercially reasonable means to protect Your Personal Data, We cannot guarantee its absolute security.

Your Rights, and How to Raise a Grievance

Under the Digital Personal Data Protection Act, 2023 and other applicable Indian law, You have the right to:

• Access a summary of the Personal Data We hold about You and how We process it.
• Correct, complete, update or erase Your Personal Data.
• Withdraw Your consent at any time, with effect for the future. Withdrawing consent does not affect the lawfulness of processing carried out before You withdrew it, and may mean We can no longer keep You registered for the Event.
• Nominate another individual to exercise these rights on Your behalf in the event of Your death or incapacity.
• Raise a grievance with Us about how We have handled Your Personal Data, and to escalate it to the Data Protection Board of India if Our response does not resolve it.

Children's and Minors' Privacy

The Service and the Event are intended for students in higher education. The Service is not directed to, and We do not knowingly collect Personal Data from, anyone under the age of 18 without the verifiable consent of their parent or lawful guardian, as required by the Digital Personal Data Protection Act, 2023.

If You are under 18, please do not register yourself. A participant under 18 must be registered through their school or college, with the written consent of a parent or lawful guardian provided to Us before the Event.

We do not carry out behavioural monitoring of, or direct advertising at, children.

If You are a parent or guardian and You believe Your child has provided Us with Personal Data without Your consent, please contact Our Grievance Officer. If We become aware that We have collected such data, We will remove it from Our systems as soon as reasonably possible.

Links to Other Websites

Our Service contains links to other websites that are not operated by Us, including Our payment gateway, Our social media pages and the websites of sponsors and partner institutions. If You click on a third-party link, You will be directed to that third party's site. We strongly advise You to review the Privacy Policy of every site You visit.

We have no control over and assume no responsibility for the content, privacy policies or practices of any third-party sites or services.

Changes to this Privacy Policy

We may update Our Privacy Policy from time to time. We will notify You of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date at the top.

Where the change is significant and You have an active registration, We will also tell You by email before the change takes effect.

You are advised to review this Privacy Policy periodically for any changes. Changes to this Privacy Policy are effective when they are posted on this page.
